Susan Scarlett is a meticulous, goal oriented professional who is creative, reliable and honest. She attained a first degree in Management Information Systems. Her professional experience spans over 12 years working in the insurance industry in administration, accounting, information technology and marketing.

She envisioned operating a virtual service enterprise as a result of the need for business support services by close friends and associates, some of whom operated their own small businesses. Soon after she decided to package her skills, technical know how and creative abilities to market business services as Executive Virtual Aide to help small business owners, entrepreneurs and independent contractors (or anyone who needs the service of a VA) in achieving their business goals. Executive Virtual Aide is committed to securing the business of the client in the strictest confidentiality. Executive Virtual Aide also referred herewith as the "contractor" shall not disclose to any person at any time without client's permission, any information relating to the client and their businesses nor use information obtained from the client directly or indirectly for personal benefit.

Operation Hours

The available business hours excluding reserved holidays are Mondays to Fridays from 9:00 a.m. EST until 8:00 p.m. 


A detailed description for all projects must be provided outlining the client's expectation of the final product. A 50% deposit is required for the commencement of all projects over $25 USD and balance payable upon final delivery of projects.

The client will be required to provide written notice if there are changes to the initial instructions. Notwithstanding, all prior work is chargeable.

In the event that the completed project has errors as a result of the contractor, the time to correct the error will not be billed to the client. However, if the client fail to communicate the requirements clearly then the time required to make corrections will be billed to the client.

Design Projects done by Executive Virtual Aide with approval of the client may be incorporated in the contractor's portfolio. 


Payments are accepted via cash, debit and credit cards through PayPal or bank lodgements. A 50% deposit is required prior to the commencement of projects over $25 USD and the balance payable upon final delivery. Smaller projects valued at $25 USD or less are required in full prior to commencement.

Existing regular clients have the option to subscribe to Executive Virtual Aide monthly retainer contract for terms of 3, 6 or 12 months. The monthly retainer packages are billed at the first of the month and payable within 15 days of invoice. Retainer subscriptions are automatically renewed and invoiced monthly. Additional hours used will be billed at the regular hourly rate. Unused retainer hours can only be rolled over within the term period.

Priority service attracts an additional charge. If required, expenses such as postage, bulk copies or prints  etc. will be billed to client.

In the event an invoice is not paid in full within 15 days of receipt, a surcharge of 5% of invoice or US$10 (whichever is greater) will apply.


The website work order form and e-mail is the preferred method of communicating work requests. Email confirmations will be sent within 24 hours. Phone is an alternate mode of communication (subject to availability). 

Service Cancellation

Projects that are terminated by client after commencement of a project, the deposit is not refundable. Cancellation request received immediately before the commencement of a project, the deposit will be refunded less transaction expenses within 15 working days of payment.

Monthly Retainer Packagers are automatically invoiced monthly only for the term subscribed. Thereafter the client is not obligated to renew and may cancel at that time.

The Contractor may cancel any project and refund deposits made in the event of natural disasters, civil wars or any other related unavoidable circumstance beyond the Contractor's control.


Executive Virtual Aide strives for testimonials from satisfied Clients and values the word-of-mouth referral made by satisfied Clients to their associates. A Client whose referral generates a sale value of US$200 will receive a free hour of service or 5% discount on next project.

Executive Virtual Aide reserves the right to revise the terms, operations and conditions of the services provided at any time. By using this website and services offered by the contractor, the client agrees to the above terms and waives all rights or any claims it may have against Executive Virtual Aide and its associates.
